Policies of digital preservation of “Perfiles” journal
Objective:

To safeguard the data contained in the information systems of the central administration, through the generation of backup copies of files, in order to guarantee restoration from possible losses, integrity as well as processes continuity of “Perfiles” scientific journal.

Scope:

Application of the information and preservation of it according to the security guidelines from the backup plan established by the editorial committee.

Roles and Responsibilities:

The editorial committee and the respective reviewers, authors, co-authors, technical staff and others who use or manipulate confidential or important information from the scientific journal “Perfiles”, are in charge of fulfilling responsibly the processes if not, the responsibility lies with them.

Conditions for long-term digital preservation:

Digital documents that must be preserved and protected against the possible loss or intellectual property theft, thus, they must be confidentiality stored in a safe environment regardless of the digital format and support.

Files that require backup copies:

  • 1. Full server (including installed operating system) in the case of virtual servers.

  • 2. Software Base (Packages and / or Programming Languages that benefits development or interaction processes and fit with our Institutional Applications).

  • 3. Applicative software (Considering both the source programs, as the object programs, and any other software or procedure that also works with the data, so as to produce the results with which the final user works). Copies of the source lists of the definitive programs should be considered, in case of problems.

  • 4. Data and data structure (Databases, Indices, validation tables, passwords, tablespaces, users, roles, configurations and every essential file for the operation of the Information Systems of the scientific journal “Perfiles” and the easily data recovery in case of failures).

  • 5. User files (Files used by the staff, and users who employ information from the scientific journal “Perfiles”.).

  • Specifications and standards for the preparation of backups on removable media

    The backups must be stored on first-brand DVDs, with labels including the following minimum information:
  • System Name | Virtual machine | Journal Edition | File, if applicable.

  • Version - Date.

  • Add a document detailing name, version, size, and hardware requirements (in the case of a System backup or a Virtual Machine).

  • Add a document detailing the Journal Edition, folder list, file list (in case of publication files).

  • DVD number (in format [number] of [total amount], eg 2 of 3).
  • To perform backups on an external disk will have to create a folder that contains the following information:

  • File Name / System / Server / Journal Edition - Creation date, if it was the case.

  • Add a document detailing name, version, size, and hardware requirements (in the case of a System backup or a Virtual Machine).

  • Add a document detailing the Journal Edition, folder list, file list (in case of publication files).

  • Safeguarding location of backup on DVDs will be in the facilities of “Perfiles” Journal.

    Safeguarding location of backup on an external disk will be outside the facilities of “Perfiles” Journal.

    A physical record document must be created for each activity mentioned.

    Methodology or general procedure of backups

    Whenever possible, safeguarding data will be performed as follows:

  • A full backup of all virtual servers will be made every 6 months.

  • A full backup of all critical server files will be made or if any server file is modified every 6 months

  • After each publication in the journal, a full backup of all the files created will be performed.

  • Restoration procedure

    Restoration is always carried out to a restoration server managed by the staff of the “Perfiles” scientific journal.

    Before data recovery, the person responsible for the data must provide a network location with the appropriate access and writing permissions or go to the offices of the “Perfiles” scientific journal with a pen-drive, DVD or portable disk, where the data that could be recovered will be copied.

    In case of data loss, a recovery request should be made as soon as possible, taking into account that if a long time passes, the volumes reuse could overwrite the data safeguarded.
